Case Studies
Stories from firms in Costa Rica that changed how they manage their practice with OKLegal.
6 attorneys · San José, Costa Rica · Civil law, family & probate
The Challenge
The firm was preparing contracts and deeds manually using outdated Word templates. Every new document required copying client data from a spreadsheet, reviewing clauses in separate files, and formatting everything by hand. A purchase agreement took an average of four hours from file to signature-ready document.
The Solution
They migrated to OKLegal's Document Builder in January 2025. They linked their 34 most-used document templates to case fields — party names, ID numbers, registered properties, procedural dates. They activated Digital Signature CR (Gaudi) for all notarial documents and OKLegal's native e-signature for agreements.
Modules used
"What used to take an entire afternoon we now finish before lunch. Our assistants focus on higher-value work instead of copying data from one sheet to another."
Ricardo González, Managing Partner

The Challenge
With 15 attorneys managing more than 200 active files simultaneously, the firm relied on a manual calendar alarm system to track procedural deadlines. In the first half of 2024 they had two critical incidents: an appeal brief filed one day late and a reply deadline that nearly expired. The pressure was unsustainable.
The Solution
They implemented OKLegal's Deadline Calculator in September 2024. The system automatically computes deadlines from the notification date, applies Costa Rican Civil Procedure Code rules, and triggers cascading alerts to the responsible attorney, supervising partner, and assistant — at 15 days, 5 days, and 24 hours before the deadline.
Modules used
"After a year with OKLegal, zero missed deadlines. That may sound simple, but for a litigation firm it's literally the difference between winning and losing a case."
Mariela Vargas, Founding Partner

1 solo attorney · San José, Costa Rica · Corporate law & contracts
The Challenge
Andrea Solano practiced alone and her biggest time drain was not legal work — it was follow-up communication. Each week she answered 20–30 calls and messages from clients asking "how is my case going?", "has the document arrived?", "when is the next hearing?". That was two and a half hours per day of low-value attention that prevented her from focusing on billable work.
The Solution
She activated OKLegal's Client Portal in March 2025. Each client receives access to a private portal where they can see the current status of their file, uploaded documents, upcoming process dates, and a communication history. When there is an update, the system automatically notifies the client by email.
Modules used
"My clients now check the portal before calling me. The calls I do receive are genuinely valuable — strategic questions, not administrative ones. I got my mornings back."
